I’ll be honest — I’m deep in the messy middle of learning how to make Agentic AI actually work for me. Not just in theory, not just in a webinar, but in the real, chaotic world of association marketing.

At AAOE, we’re trying to connect our AMS (Novi) with Active Campaign through Zapier to create customized new member automation emails and weave the new members into our existing segmented lists. Sounds simple enough — until you realize that every field has to match perfectly, every workflow has to sync, and every “zap” needs to know exactly where to send the data. I’ve had three or four meetings with our marketing agency and our in-house Novi manager, and we’re still translating how the fields in Novi map to Active Campaign.

Meanwhile, ChatGPT just finished researching 300+ member websites for me — identifying which offer musculoskeletal service lines like podiatry, rheumatology, or physiatry. I have a beautiful spreadsheet of that data, but now I’m staring at it wondering: how on earth do I use Zapier to append that information back into member records in Novi? That project hasn’t even started yet, and the overwhelm is real.

But here’s what I’m reminding myself — and maybe you need this reminder too if you’re an association exec feeling behind on AI:

  • AI doesn’t have to happen all at once. Start small. One automation, one field, one workflow at a time.
  • You don't have to be the expert. Your role is to understand what’s possible so you can lead your team toward it.
  • Momentum beats mastery. Every small step you take, even one working zap, builds confidence and capability.

Agentic AI is designed to act on your behalf. But first, you have to trust it enough to take the wheel, and that starts by giving yourself permission to be a learner again.

I’m not there yet — but I’m getting closer. And when those new member automations finally run themselves while I’m focusing on strategy instead of setup, it’s going to be worth every frustrating meeting, every confusing field map, and every late-night Google search about Zapier paths.

Because this isn’t just about saving time. It’s about creating space to lead and letting AI handle the mundane (but necessary).
