
Synopsis
Webinars and conference sessions often contain valuable expertise, but those insights are frequently buried in long recordings that members may not revisit. This project explored how to extend the value of educational programs by converting a single webinar into multiple learning assets that are faster to consume and easier to apply.
Using a simple AI-assisted workflow, webinar recordings were transformed into three assets: a searchable transcript, a concise executive summary, and a visual job aid infographic. Otter.ai generated the transcript, ChatGPT extracted key insights and created the summary, and Venngage produced the infographic. (Look left).
For a small association pilot, this approach improved access to learning without adding staff workload. Members could review key insights in minutes instead of watching a full session, while the workflow created a foundation for additional derivative content such as blog posts, newsletters, or social media.
This case demonstrates how associations can move beyond producing content to designing learning ecosystems that package expertise into multiple practical formats.
The Challenge
Professional associations invest significant time and expertise in webinars and conference sessions. However, the insights shared in these programs often remain locked inside long recordings. Members who cannot attend live may not watch the full session, and even those who do often struggle to revisit key insights later.
The goal of this project was to extend the value of educational content by transforming webinars into multiple learning formats that are easier to access, faster to consume, and more useful in daily professional work.
Approach
Instead of treating a webinar as the final learning product, the session became the source material for a small learning ecosystem.
Using a structured prompt workflow, each webinar was converted into two additional learning assets:
Executive Summary: A concise overview highlighting the most important insights from the session.
Job Aid Infographic: A visual reference tool summarizing key takeaways that members can quickly apply in their work.
This approach allowed the association to repurpose existing educational content into formats that support learning reinforcement and practical application.
Tools and Workflow
The process connected three platforms using repeatable prompts.
1. Capture the Content
Otter.ai ($17/month) generated a transcript from the webinar recording.
2. Extract Insights
ChatGPT ($20/month) analyzed the transcript.
Custom prompts extracted key takeaways and generated an executive summary.
3. Create the Job Aid
Venngage ($49/month) transformed the summarized insights into a visual infographic job aid. Scroll down to see infographic examples.
By creating prompts for each step, the workflow could be reused across multiple webinars and conference sessions.
Outcome
This workflow allowed a single webinar to produce three learning assets:
For the small association where we implemented this, we decided to pilot just these three assets, as we could use AI for speedier production without adding any staff or significantly adding to the current staff's time. We could have also created these assets and more:
Members could now access the most important insights in minutes rather than hours, and in formats they preferred, improving usability and engagement with the association’s education content.
Strategic Insight
Associations often focus on producing more content. A more powerful strategy is designing learning ecosystems that transform expertise into multiple accessible formats.
By repurposing webinars into practical learning assets, organizations can extend the impact of their educational programs while improving the member learning experience.
Future Opportunity
In this project, the workflow was executed manually using prompts across several platforms. With an AI agent or automation layer, the process could be further streamlined, allowing associations to automatically generate executive summaries and job aids from every educational program.
